This section will provide you with useful tips to enhance your user experience with our online search tool.
Textual Search
- Boolean OR Operator: To perform the widest possible textual search for an asset, enter an OR between terms in the search field (e.g. business OR stocks OR taxes OR retirement). The result will find assets that contain any of the specified search terms.
- Boolean AND/NOT Operators: To perform a narrower textual search for an asset, insert one or both operators AND (all caps) as well as NOT between terms (e.g. business AND stocks AND taxes NOT retirement). The result will find assets that contain only the first three terms while excluding the last term. In addition, the AND operator is implicit within the search. For example, if you enter business stocks (with just a space in-between the terms), that defaults to the use of the AND operator.
- Groupings ( ): You can process sub-queries within a larger search using parentheses ( ). For example, typing (business OR stocks) AND (taxes NOT retirement) will first return all assets with business and stocks, then filter those results to also include taxes while excluding retirement.
- Wildcards (? or *): You can use question marks within search terms for the system to make letter substitutions. For example: typing coll?ges could result in both collages as well as colleges. Separately, you can use an asterisk in place of a character to substitute for any number of characters. For example, if you type depreciat* your results could include depreciate, depreciating, depreciation, etc.
- Exact Quotes (" "): You can use quotation marks to find whole words and exact phrases. For example, typing "Stock Exchange" will return all assets containing that exact phrase.
- Fuzzy ( ~N, where N is a number ): You can use fuzzy searches to return alternative spellings. For example, typing Masachusets~2 will check for up to 2 missing or alternative letters, and return assets containing Massachusetts.
- Proximity ( ~N, where N is a number ): You can use proximity searches to return missing words within a phrase. For example, "News Bulletin"~2 would search for the words News and Bulletin with up to 2 additional words in between.
Filtered Search
- In addition to textual searches, you may commence a search (or narrow your results further) by using our available filters: Library Type, Category, Attributes, Keywords, Groupings, People & Entities, Creators, and Transcripts.. The Transcripts filter allows you to find particular mentions of a word or phrase within a transcript. Alternatively, you may use the asterisk character (*) to search for all assets that include a transcript, without searching for a specific word.
- You may select one or more values within each filter, then click APPLY FILTERS to perform the search.
- Each filter's available values will refresh to correspond to your search results, allowing you to conduct further incremental searches to quickly and efficiently narrow your results. For example, applying Library Type > Video will return all video-related assets and will adjust the available values in the other filters based on the returned results. We recommend applying no more than three filters at a time, as too many filters at once may return no results.
- For unique date searches, you can enter a Start Date and an End Date to return a range of dates in which the asset (depending on its type) may have been published, created, released, etc. For example, entering a Start Date of 01/01/1945 and an End Date of 12/31/1948 will return any assets associated with those dates. When typing in the start and end dates, be sure to enter them using the following format: xx/xx/xxxx, which represents the two-digit month, two-digit day, and four-digit year (example: 06/15/1946).
Sorting Results
- You have three choices in how to view your results: large grid view, small grid view, and list view
- You may Sort By the following, and toggle their order within the drop-down menu:
- Relevance (original results display based on search parameters)
- Name (alphabetical listing based on asset title)
- Type (sort/group assets according to their type - audio, document, object, photograph, video)
- Date (sort assets according to most recent or earliest associated dates)
- To clear your entire search and start again, click RESET SEARCH.
- You must be an approved registered user before you can request assets.
- When you find the asset you're looking for, you may Add To Basket, from which you may submit your selections.
- Prior to submitting your request, you will need to identify your purpose for requesting these assets, as well as any details. Click on the ‘?’ icon next to Details to auto-copy sample language into that field, and then edit according to your needs.
- Upon submission, you will receive an order # and an email confirming your submission. At this point, representatives from the museum will review your request. If approved, you will be notified via email. If you are licensing materials that require a publishing agreement, you will receive additional emails from DocuSign, an electronic signature service, with further instructions on fulfilling your request. Once all steps are completed, you will receive a final email where you will be able to access (download) a high-resolution digital version of the requested asset (i.e. video, audio, photograph, or document). If your request is rejected, your Order History page will provide details and/or further instructions.
- To view a summary of a collection, you may select the relevant collection from the drop-down menu in the top navigation bar.
- To see all assets within a collection, you may either:
- Access from the collection summary page, or...
- Select from the filter search
- Account Details: you may access your profile and edit its information (including your password) from the ACCOUNT menu on the top navigation bar
- Order History: you may access the history of your asset requests/orders from the Order History page (also available from the ACCOUNT menu)
